Troop 251 Committee Minutes

July 1, 2009

Members Present: Clark Banks, Raj Bhatt, Bryan Chan, Jose Chavez, Chris Ching, Jenny Ching, Patricia Cuadros, Jay Isaacson, Peter Koral, Jeffrey Marsh, Mike Nealon, Tom Stutz, Pam Waggitt

 

I.       Preliminaries

A.     Agenda review and approval –approved

II.    Eagle Project Presentations

A.     Eric Liaw presented his Eagle Scout project which is to restore a historical cattle fence and construct five horse paddocks at Joseph D. Grant County Park. The project is already approved by the ranger at the County Park. Minor revision is needed for the proposal and Eric will submit revision to Tom Stutz, Pam Waggitt, Jay Isaacson for sign off and approval by Council. Mr. I emphasizes that the Eagle project has several themes: 1. give back to the community, 2.practice in being the leader/organizer/delegator, 3. historical meaning of the fence. These themes should be related to the boys or adults who volunteered to help with this project. Project is set to be done in about 4-5 days. Tentative date for completion of project are- 8/22 and 8/23; and 9/5 to 9/7. Eric will check with rangers on the dates. The project will need a crew of 8-10.

III.Reports

A.     Recognition – Group

·         All ASMs present in ASM meeting

·         Thanks to May Wong and Jenny Ching attending the Popcorn meeting at Council, which our troop will get an extra 1% commission.

·         Thanks to Jeff Marsh for AED training

·         Thanks to Chris Blum and Peter Koral for setting up and getting the t-shirts for the troop. It should arrive on 7/6.

·         Thanks to Jenny Ching, Chris Ching, Jeff Marsh, Clark Banks in the assistance of the summer camp gear shakedown. 

B.     Scoutmaster’s Report –Jay Isaacson

·         PLC meeting 7/7/09

·         Quarterly planning meeting needs to be rescheduled –next proposal date of 7/11.

(a)    Discussions related to the low attendance at the quarterly planning meeting- not all patrols are represented

(b)   Patrol leader and assistance patrol leader should attend quarterly planning meeting.

(c)    Suggestion of setting up different format for quarterly planning like after meeting, the group can have fun activities e.g. bowling, golf or movie

·         Blake Campership award winners are to be announced in the next Scout meeting.

·         ASM meeting went well. Adults were able to provide feedback, plan to have it as a quarterly meeting was discussed, preferably after quarterly planning meeting. 

·         Quarterly planning meeting should be planned & scheduled at annual planning meeting/calendar meeting. 

·         The troop mailbox is not currently effective due to “copy” restraints.  Suggested by Mr. I to purchase a troop copier to be stored in troop cabinet at meeting site.  P. Cuadros to research and report back to committee. 

C.     Advancement Report – Bryan Chan

·         Sahil Doshi received Eagle

·         Nathan Chavez- Life

·         Janice Purcell - advancement coordinator will set up advancement procedure and submit to parent committee for approval.

D.     Treasurer’s Report – J. Marsh

·         Ramona Watson Memorial fund -$50. Tricia will contact the Ramona family for disposition of fund.

·         The James E. West Award is a national recognition for individuals who contribute $1,000 or more in cash or securities to the local council endowment trust fund.Tom Stutz motioned to donate $50.00 from Troop fund to combine with George Booth’s memorial fund to set up the James C West fellow award in George Booth’s name. Seconded by Mike Nealon. Motion approved by all. Tricia will contact the Ramona Watson family and contact SCC-Council for information. It was suggested that the James E West Fellowship award be presented to the Booth family at the Gala COH in September.

·         Treasurer report attached.

·         Summer camp transportation totals $1260 x 2 = $2520.  After subtracting the money raised during the fundraisers, the balance that needs to be recouped is $1510. Transportation for summer camp is $1510.00 to be divided amongst all who will attend summer camp.

E.      Summer Camp Emerald Bay, Catalina Island 7/12 to 7/18/09 – P. Cuadros

·         Current attendance to summer camp total count is 28

·         Steven Liaw is Scout master, Chris Ching ASM.

·         Jose Chavez and Chris Ching - responsible for advancements

·         Clark Banks- oversees drop in sessions.

·         Raj Bhatt – responsible for medication administration

·         Bus will leave at 4am sharp on 7/12, everyone will need to be at Cedar Grove at 3:30am.

·         Final shake down will be 7/7, Tricia will send email.

·         Anticipate leaving San Pedro at 2pm on bus.

·         Mr I. suggested that the adults take turns to take a day for recreation.

F.      Outings – T.  Stutz

·         Nothing to report

G.     Equipment – Clark Banks

·         Received 2 ice chest, 1 propane tank, first aid kit from Sam Sandy

·         Will bring Troop flag to Emerald Bay

H.     Chairman’s Report – Pam Waggitt

·         July 14th meeting is cancelled

·         July meetings will be outdoors, no indoor facilities available.

·         Update of Troop Policy

-          Tricia motioned to pass troop policy, Clark seconded, motion passed.

-          Jeff will post the policy in yahoo group and any new scouts that joined the troop will have information emailed to them as they sign up for members of T251 Yahoo group.

·         Jose Chavez is ASM to Spartans

IV.New Business/upcoming events

  1. New Scout Family Meeting with Scoutmasters & Committee Chair on 07/07/09

  2. 3rd Q – Quarterly Planning 07/11/09 (TENTATIVE), date will be finalized at PLC meeting.

  3. Summer Camp -P. Cuadros & J. Marsh July 12-18/09

·         As discussed above

  1. Bristlecone 08/02/09

·         Alejandro Acosta, Neal Waggitt, Nathan Chavez, Jonathan Purcell registered to attend.

  1. Loon Lake/Spartans 8/9- 8/15/09

·         6-7 scouts have signed up

·         Crew will be at camp on 8/8 and leaving early on 8/9 Sunday for trek. They will return to camp on 8/13 and leave on 8/15. Their cost will be prorated.

·         The sign up list will need to be emailed. Jose Chavez will organize Loon lake trip.

  1. Annual Planning- Patriots 08/29-31/09

·         Held at Royal Oak County park

·         Invite families to come and camp Saturday night – information will need to be communicated to patrol.

V.    Old Business/Evaluation

A.     White Water Rafting- Spartans June 6-7, 2009 -cancelled

B.     Stutz/Riedlin Eagle COH 06/14/09 – went really well

C.     Sports Night Summer Olympics- Dragons-  06/16/09

·         3 events, went well

D.     Parent Meeting – What families will support (participation) in 2010 & Summer Camp transportation update 06/16/09

·         Discussions in:

o   Need more trained ASM

o   Financial strain for events

o   New parents not comfortable with outdoor camping

o   Communicate with parents on how troop is ran

o   All parents are welcome to parent committee which is held on every first Wednesday at 7pm – St. Francis of Assisi.

E.      Moaning Caverns/Spelunking -Dragons 06/20-21/09

·         Will need to be discussed at Quarterly planning meeting and to be rescheduled or cancelled.

F.      3rd Quarter Quarterly Planning Meeting 6/20/09- postponed due to low attendance. Will need to be rescheduled.

G.     AED Training -  J. Marsh 06/23/09 went well.

H.     ASM/Scoutmaster Meeting 06/23/09 as discussed above.

I.        Service Project – Maintenance of Eagle Projects - F. Phoenix 6/27/09 – postponed and will need to be rescheduled in Quarterly planning meeting.

J.       Summer Camp Shakedown – SPL - 06/30/09

·         Went well

·         Will schedule another meeting on 7/7 to finish shakedown.

K.     Summer Camp T-Shirt’s/Peter Koral

·         Should arrive on 7/6
