BEST PRACTICE: Provide Participant Instructions on Registration Pages
With the Participant Instructions feature, you can enter and format custom instructions and information to display on the top of the page where registration owners add participants. Participant instructions can be used to remind registration owners about:

  • A minimum or a maximum number of registrants per registration
  • Registrant ratios such as the number of adults that are required per the number of youth registrants
  • Requirements such as prerequisites or minimum and maximum ages of participants
  • Any other important information about the event!

Participant instructions are especially helpful for events that are configured to skip registration details to ensure that registration owners are aware of important information before completing a registration.

If an event is configured for group registration, you can also enter custom information to be displayed on the page where the registration owner enters group information.

To add instructions, follow these steps:

  1. On the Manage Events page for the event, click Participant Instructions. The Page Instructions page will be displayed.
  • If the event is not configured to collect group information, a single rich text entry field will be displayed.
  • If the event is configured to collect group information, two rich text entry fields will be displayed: one for instructions to be displayed while the registration owner is entering group information, and one to be displayed while the registration owner is entering registrant information.
  1. In the text entry field(s), enter and format the instructions.
  2. Click Save to save the information and return to the Manage Events page.

BEST PRACTICE: Use Registrant Attributes to Collect Names and Contact Information
The Registrant Attributes feature is the best way to gather names, email addresses, phone numbers and other contact information for events and programs that are configured for named registrants. Registration owners are asked to enter the information requested in Registrant Attributes when they add a participant.

This information is used throughout registration  to identify and display the correct information for participants. And, using Registrant Attributes to collect common information reduces the need to ask for identification information on a custom registration form. To use Registrant Attributes, follow these steps:

  1. On the management page for the event or program, click Registrant Attributes. The Registrant Attributes page for the event or program will be displayed.
  2. In the Registrant Type panel, select the registrant type that you’re setting attributes for:
  • To request this information for all registrants, select All. (If the event or program doesn’t use different registrant types, this is the only option.)
  • To request this information for a specific registrant type, select the registrant type.
  1. For each piece of information you want to request, locate the item in the Field column and follow these steps:
  • To request the information, select Show. If you select only Show, the information is requested but not required.
  • To require the information, select Require. The registration owner must provide the information to continue with the registration. Follow steps 2-3 for each attribute you want to use.
  1. Follow steps 2-3 for each attribute you want to use.
  2. To save your changes, click Save.
  3. To exit the page, click Done.
